Cashless Coffee & Payment Systems — FAQs

Cashless payment can turn a workplace coffee machine into a flexible free-vend, subsidised or paid drinks service. The exact hardware, payment methods, connectivity, transaction fees and contract terms depend on the payment provider and the machine being used, so Café Perfection confirms those details for each proposed setup rather than publishing assumptions as fact.

Can we charge for drinks?

Yes, where a compatible payment system is fitted. A business can choose to charge the full price, subsidise part of the drink cost or provide drinks free of charge. The right model depends on what the business is trying to achieve.

Can different prices or staff benefits be used?

Some payment platforms can support more than a simple fixed retail price, but the available options depend on the selected hardware and account configuration. Tell us how you want the scheme to work and we can confirm what the proposed system supports.

What payment methods are available?

Contactless card and mobile-wallet acceptance is common on modern unattended payment terminals, but supported methods vary by provider and configuration. We confirm the exact payment methods before quotation.

Does the terminal need Wi-Fi?

Connectivity varies by payment unit. Some systems use cellular connectivity, some can use network connections and site conditions can affect the best option. Connectivity is checked as part of specifying the payment solution.

Can a paid coffee system cover some of its own costs?

It can, depending on drink volume, selling price, ingredient cost, equipment cost and payment charges. Use our planning calculators to model your own assumptions rather than relying on a generic payback promise.

Can Café Perfection supply the machine as well?

Yes. The payment terminal needs to be considered alongside the coffee machine, drink menu, expected demand, ingredients, installation and ongoing support. We prefer to design the complete setup rather than bolt a terminal onto an unsuitable machine.

Which payment terminal do you use?

We are reviewing suitable cashless options for our current machine range. Provider and model details will only be published once compatibility, commercial terms and support arrangements have been verified.

Planning a workplace coffee and payment setup

Make the page useful

Move from “what can I buy?” to “what needs to work?”

Define the outcome, demand, site constraints and ongoing routine first. Product selection becomes much clearer once those four things are understood.

01

Outcome

Write down the problem or result you are trying to achieve before looking at product categories.

02

Demand

Estimate normal use and the busiest realistic period so the setup is neither under- nor over-specified.

03

Site fit

Check utilities, space, access and the people who will own the day-to-day routine.

04

Lifecycle

Include replenishment, cleaning, servicing and support in the decision rather than treating them as afterthoughts.

Before you commit

Turn the page into a decision you can defend.

The useful next step is not more product copy. It is confirming the few facts that can change the recommendation, the installation or the day-to-day workload.

1

Confirm the requirement

Write down the outcome, normal demand, busiest period and non-negotiable outputs before selecting a product.

2

Confirm the site

Check space, access, power, water, drainage, storage and service access while changes are still easy to make.

3

Confirm the ownership model

Make cleaning, replenishment, filters, servicing, records and fault escalation part of the buying decision.

Coffee. Water. Done Right.

Make the next step simple.
