Start with cups per day
Take a realistic average rather than the busiest day you can remember. For a workplace, separate normal daily use from exceptional meetings or events. For home, count how many bean-based drinks the household usually makes.
Use the actual dose
The grams of coffee used per drink vary with the machine, recipe and settings. Use the real machine or product guidance rather than assuming every cup uses the same amount.
Turn that into a planning quantity
Multiply drinks by the average dose and the number of days you expect to use the machine. Add a sensible allowance for changes in drink mix and adjustment, but avoid building a huge buffer simply because the product is easy to store.
Review after the first cycle
Your first estimate is only a starting point. Check what was actually used, then shorten or lengthen the reorder interval. A repeat-order plan should get more accurate as real usage becomes known.
Subscription should be a convenience, not a trap
